Guiding principles for housing and physical storage
- Archives staff “link” archival descriptions to physical storage locations to facilitate access and storage management.
- Physical storage locations are unique identifiers comprised of the following information elements:
- Building
- Floor
- Room
- Coordinates (e.g., range or shelf number, cabinet / drawer number)
- Physical storage locations of processed fonds and collections are maintained in the Archives Catalogue.
- Physical storage locations of unprocessed fonds and collections are maintained in ArchivesSpace. Archival descriptions and accession records are linked to containers, which are then linked to physical locations.
- Physical storage locations should be properly labelled.
