Instructions on using MusCat

Introduction


The following guidelines provide instructions for manually adding descriptions for music manuscripts and published music to RISM's online catalogue using MusCat. The instructions follow the structure of MusCat's data entry form while referencing the corresponding RAD fields or other sources of information. MusCat uses the MARC standard. 

General Guidance


  1. Archives staff should consult the guidelines provided by RISM for adding manuscripts and published music with MusCat. See RISM's MusCat Tutorials.

  2. Archives staff should also consult the Dalhousie University Archives' guidelines for the archival description of Music Manuscripts and Published Music. Sources should be catalgoued in AtoM before they are added to RISM. Information from AtoM should be copied into the appropriate MusCat fields indicated below.

  3. The procedure for adding music manuscripts differs from that for published music. Please follow the appropriate guidelines.

  4. Always include a link to the University Archives catalogue record in each MusCat record.

  5. Ensure that the information provided in MusCat corresponds to that in the University Archives' catalogue.

  6. The library siglum assigned by RISM to Dalhousie University, Killam Memorial Library, Music Collection is CDN-Hu.
  7. For individual scores or parts, the item-level description in AtoM should map to the new record in RISM (e.g., Chopin's Impromptu, Op. 36). If the score and parts, or multiple parts, of a work are held by the Archives, the complete work should be described at the file or series level in AtoM and this file- or series-level description should map to the new record in RISM (e.g., Mozart's Piano Concerto, K. 488 and Barry Guy's Nasca Lines).

Music Manuscripts


For music manuscripts, always create a new record.

After logging in to MusCat, the user will be brought to a page that lists all catalogued sources. To add a new source click "Create" under "Actions" on the right-hand side of the page.

Select "Music manuscript" from the list of available templates. 

Then, fill out the form as described below. The example is derived from the autograph manuscript of Concerto para piano e orquestra by Heitor Villa-Lobos (MS-5-2, Box 6, Folder 1). See the completed RISM record here.

Notes:

  • Not all possible MusCat fields are included, only those relevant to cataloguing Dalhousie University Archives' music manuscripts
  • RAD's general rules for description (Chapter 1) and those for textual records (Chapter 3) are referenced under "Corresponding RAD Field," wherever possible. When there is no corresponding RAD field, the alternate source of information is indicated under "Dalhousie Guidance." 
  • Each field is indicated as mandatory or optional based on those fields which are mandatory for RISM records and those deemed mandatory by the Dalhousie University Archives for cataloguing music scores and sheet music.
  • Fields automatically generated by MusCat are not described.

Once the record is complete, select "Published" from the drop-down menu and "Save and close" from the right-hand toolbar. Review the published record and exit. 

Published music: Add holding to existing record


For published music, first check to see if the version held by the University Archives is already catalogued in RISM (i.e., held at another institution). Ensure that the title, composer, publisher, date of publication, extent, etc. match the version that you are cataloguing. You can either search for records using the filters on the right-hand panel under the "Sources" tab, or go to a "Faceted Search".

If you find a match, follow these instructions for adding a holding to an existing record. If not, skip to the next section for instructions on creating a new record for published music.

Once you have located the correct record, click "Add holdings" under "Actions" on the right-hand panel:

Existing holdings are listed by library siglum and shelfmark under "Exemplar Information" on the right-hand side of the page:

When adding a holding to an existing record, only certain fields are available. Fill in the following fields indicated below and be sure to only add information that pertains to the copy held by the Dalhousie University Archives, not the publication as a whole.

If a record does not already exist for the publication, create a new record and select either "Printed music edition, collection parent record or individual item" or "Printed music edition, item in collection," as appropriate.

Then, fill out the fields outlined below.  The example is derived from the print score for L'oiseau de feu by Igor Stravinsky (MS-5-2, Box 2, Folder 17). Note that this record is for information about the publication as a whole, not details pertaining to the copy held by Dalhousie University Archives. Information pertaining to a particular copy of the publication should be entered into the holdings record (see above). See the completed RISM record for this publication here.
