Add a PREMIS rights statement to an archival description

Introduction


  • A PREMIS rights statement is set of metadata that documents actions the University Libraries are allowed to take, allowed to take with conditions, or not allowed to take on applicable content maintained in the digital repository.

  • Mandatory and optional metadata elements for a rights statement are defined in the PREMIS Data Dictionary for Preservation Metadata, v2.2.

  • Each PREMIS rights statement describes the basis of the statement (e.g., copyright, license, statute, policy, or donor) and defines one or more PREMIS rights acts (e.g., disseminate, modify, etc.).

  • PREMIS rights basis and rights acts terms are taken from controlled vocabularies maintained in the Archives Catalogue by the University Archives.

  • Individual archival descriptions and their related digital objects can be associated with one or more PREMIS rights statements.

  • This page provides instructions on how to add PREMIS rights statements to archival descriptions.

Add a new PREMIS rights record


Scroll to the bottom of the archival description and click on the “Create new rights” option in the “More” menu.

Select PREMIS rights basis


Select the appropriate basis of the rights statement.

This designates the basis for the right or permission described in the rights statement. Use the following table for guidance on which rights basis to select:

Use when the rights statement will record information about an institutional policy or protocol granting permissions related to the objects(s).

Statute

Use when the rights statement will record information about a statute allowing use of the object.

The form changes based on the basis.


Add start and end dates of the copyright, if known.

Add name of rights holder(s).

Add rights notes.

Do not use the Documentation Identifier area.

Select PREMIS rights granted


Select the appropriate right held by the repository to be documented in the rights statement.

The following PREMIS acts can be disallowed, allowed, or allowed on a conditional basis:

Remove from the repository.

Based on “Resource discovery”, i.e. exposing metadata through searches.

Disseminate

Create a copy or version for use outside of the preservation repository.

Migrate

Make a copy identical in content in a different file format.

Make an exact copy.

Select the appropriate restriction from the drop-down menu.

The following table defines each option in the restriction drop-down menu:

The repository is not allowed to perform the act.

Add start and end dates of granted rights. Omit end date if the ending date is unknown.

Add notes for the granted right.

Click on the “Save” button to update the archival description.

The archival description will include a new “Rights area” with the PREMIS rights statement.

Add another granted right to an existing rights statement


Each PREMIS rights basis can support the description of multiple granted rights. To add another granted right to an existing rights statement, click on the on the Edit link.

Scroll down to the bottom of the “Act / Granted rights” section and click on the “Add granted right” button.

Select the appropriate right held by the repository.

Complete the remainder of the “New granted right” form and click the “Save” button to update the archival description.

The PREMIS rights statement will now show two granted rights associated with one basis.

Manage rights inheritance


Scroll to the bottom of the archival description and click on the “Manage rights inheritance” option in the “More” menu.

Choose to inherit rights to all descendant records or only descendant records with digital objects.

Choose to delete current rights in descendants and replace with new parent rights, or keep current rights in descendant records and add new parents.

Click on the “Apply” button to inherit the parent rights to the descendants.

The descendant archival descriptions will now include rights statements as specified in the Inheritance options.
