Create and edit accession records in ArchivesSpace

Introduction


  • Accession records are linked to repositories (Dalhousie University Archives or MacRae Library).
  • Accession records are linked to instances that are linked to physical storage locations.

Create accession record


  1. Log into ArchivesSpace.

  2. Click on the Select Repository menu and select the appropriate repository from the drop-down menu.



  3. Click on the "Select Repository" button to make your selection.



  4. Click on the Create button and select Accession.



  5. Alternatively, click on the Browse drop-down menu and select Accessions.



  6. Then click on the "Create Accession" button.



  7. Complete the New Accession form. Refer to the metadata guidelines for accession records for guidance.



  8. Hover over the title of each field to reveal additional data entry guidelines.



  9. To save the accession record, click on the Save Accession button under the table of contents in the left side menu or at the bottom of the page.



Edit accession records



  1. Log into ArchivesSpace.

  2. Click on the Select Repository menu and select the appropriate repository from the drop-down menu.



  3. Click on the "Select Repository" button to make your selection.



  4. Click on the Browse drop-down menu and select Accessions.



  5. Use the Sort by menu to sort the accession register by title, created date, modified date, or identifier.



  6. Or use the Filter by text to search for an accession record.



  7. Click on the Edit button to open an accession record in edit mode.



  8. Edit the accession record as required. Refer to the metadata guidelines for accession records for guidance.

  9. To save the accession record, click on the Save Accession button under the table of contents in the left side menu or at the bottom of the page.
