1.4B - Date(s) of creation


Usage guidelines: date(s) of creation information is mandatory at all levels of description. Links to archival authority records are mandatory at highest level of description. Links to archival authority records are prohibited at lower levels unless the creator is different than the creator inherited from a higher level of description. 

Creating new authority records

New authority records must be created by Editors or Administrators. See instructions on creating new archival authority records for guidance. Contributors to the Archives Catalogue do not have permissions to create and link to new authority records. See Archives Catalogue User Accounts for more information on user accounts.

  1. Click on the "Add new" button.



  2. At the highest level of description, use the "Actor name" field to link the archival description to an authority record. Leave the Actor name field blank in all lower level descriptions, unless the description is linked to a different authority record.



  3. Select "Creation" in the Event type drop-down list.



  4. Do not use Place drop-down list. Use the Access Points area to link archival descriptions to geographic places.



  5. Give the date(s) of creation of the unit being described either as a single date, or range of dates (for inclusive dates and/or predominant dates). Always give the inclusive dates.



  6. Complete the start date field. Ensure the start date is the earliest known or probable or uncertain date.



  7. Complete the end date field. Ensure the end date is the most recent known or probable or uncertain date.



  8. Click on the submit button to save the date event. The event information now appears in the date(s) of creation area.



  9. Add additional event statements as required.

1.4B4 - Accruals


Usage guidelines: RAD 1.4B4 suggests that 1.8B19 Accruals notes are mandatory at the highest level of description. Accruals notes are prohibited at all lower levels of description.

  1. At the highest level of description, make a RAD 1.8B19 Accruals note indicating if the unit is considered open or closed. Do not provide accruals notes at lower levels of description. 



1.4B5 - Probable and uncertain dates


Usage guidelines: Always provide date(s) of creation information. If date(s) information is not certain, refer to RAD 1.4B5 for guidance on formatting probable and uncertain dates. Always provide start and end date information, even if the date(s) of creation are probable or uncertain.

1.4C - Place of publication, distribution, etc.


Usage guidelines: Archival descriptions are typically linked to place names through the Access Points area. Do not use the date event window to record place names, unless the archival descriptions are at the item-level and describe items that have been published, distributed, etc.

  1. At the item level, transcribe a place of publication, distribution, etc., in the form and the grammatical case in which it appears.
