2.6 - Send Dissemination Information Package (DIP) to Archives Catalogue
Introduction
- Scanner operators must complete the procedures for creating "access copies" before completing these steps.
- Dissemination of access copies involves updating existing archival descriptions and creating new archival descriptions.
- Access copies are disseminated via the Archives Catalogue or DalSpace
Procedures
If the material was digitized to fulfill an Archives Document Delivery Request, attach the access copies to the PDA in Relais or provide the access copies via email, File Exchange, CD, etc. Ensure that all Relais requests are fulfilled or cancelled.
- Determine if the Libraries has rights to disseminate the material online. Conduct a privacy assessment and copyright assessment, if applicable.
- Contact the rights holder and request a copyright consent form, if applicable.
- Create and/or update file- and/or item-level descriptions in the Archives Catalogue or DalSpace.
- Refer to Section 7 of the University Archives Procedure Manual and the Access to Memory (AtoM) User Manual for guidance on creating archival descriptions in the Archives Catalogue and uploading "access copies."
