8.5 - Backup data and delete temporary files

Upload preservation master files and access copies to the Libraries’ Digi Server after the digital production workflow is complete. The preferred upload method is via sFTP connection. Very large aggregations of material (e.g., vendor-supplied data) can be uploaded by Systems Administrators in the Libraries’ Academic Technology Services Office.

Backup data


  1. Determine appropriate storage location on Digi Server. There are multiple servers. See Project Manager or Digitization Coordinator for guidance.

  2. Use sFTP Net Drive Pro or Filezilla to connect to Digi Server via sFTP. Contact the Libraries' Academic Technology Services Office for assistance installing and configuring sFTP software and connections to the Digi Server.

  3. Create new top-level folder if necessary. Create sub-folders as necessary.

  4. Upload preservation master files and/or access copies. DO NOT OVERWRITE EXISTING FILES WITHIN A TOP-LEVEL FOLDER.

Delete files in temporary local storage


  1. After successful upload to Digi Server and dissemination to appropriate access platform(s), delete files from local storage.

Additional steps for scan jobs completed on the SMA Scan Master 0


  1. If the "Finalize" function was used to export "master" files from Batch Scan Wizard, perform the following additional steps:

    1. Delete job from the Job browser window in Batch Scan Wizard.

    2. Delete temporary images in the capture directory.

  2. If these procedures are performed while the scanner is turned on, follow the procedures to turn off the SMA Scan Master 0.
