Introduction

• Ideally, audiovisual digitization projects will produce digital audio files and/or digital video files that do not require editing before transfer. The goal is to simply catalogue and organize the material before transferring digital files into to Archivematica.
  
  
• Manual video and/or audio editing can be incorporated into the workflow if the mezzanine and/or access copy need to altered (.e.g., trimming, cropping, transcoding). In these situations, the material cannot be catalogued until after the editing is complete.
  
  
• Procedures are intended to be performed on newly acquired digital files prior to uploading to the Libraries' transfer service. 
  
  
• Procedures can also be performed on previously acquired digital files that Libraries staff have already uploaded to a location on the Libraries' SAN.

Update RAD archival descriptions and ISAAR-CPF authority records

1. Use shipping manifest, vendor metadata, digital files, and other sources of information to update archival descriptions. Notable areas include:
   
   
   1. Dates of creation
   2. Physical description
   3. Scope and content
   4. Location of originals
   5. Availability of other formats
   6. Terms governing use, reproduction, and publication
   7. Rights
   8. Subject access points
   9. Place access points
   10. Genre access points
   11. Name access points (subject)
       
       
2. Use shipping manifest, vendor metadata, digital files, and other sources of information to update or create archival authority records.
   
   
3. Update Control Area of all archival descriptions and authority records.

Catalogue audiovisual item and digital copies in PBCore Cataloguing Tool

1. Open the project Excel file and export the data in the PBCore tab to a new CSV file labelled "metadata_draft.csv"
   
   
2. Open the metadata_draft.csv file in Excel and add any metadata from the archival descriptions or archival authority records. Save the csv file.
   
   
3. Launch the PBCore Cataloguing Tool and import the metadata_draft.csv file.
   
   
4. Work with metadata to ensure that PBCore Cataloguing Tool understands that:
   
   
   1. Each work is a PBCore "asset" with multiple "instantiatons."
      
      
   2. Compilations are PBCore "assets" with "sub-assets" and multiple "instantiations."
      
      
   3. Generate metadata.csv file and save in metadata sub-folder.
      
      
5. Export new PBCore metadata file and save as metadata.csv.
   
   
6. Run script to produce dublin_core.xml and pb_core.xml file?

• Create new rights.csv file in metadata sub-folder.

Organize files and upload to Libraries' transfer service

1. Logon to...
   
   
2. Create a "top-level" folder that will contain all of the desired files and folders to be included in the submission.
   
   
3. Organize each top-level directory into an Archivematica "standard transfer" that includes metadata, submission documentation, checksums, mezzanine files, and access copies. Refer to the following table for guidance: 

Optional: generate new mezzanine and access files

If video editing is necessary, the material must be catalogued in PBCore Cataloguing Tool after new mezzanine and access files are generated.

1. Load 10-bit uncompressed MOV file into Vegas project.
2. Trip and crop as necessary.
3. Render new mezzanine file.
4. Render new access copy.
5. Catalogue videocassette and digital files in PBCore Cataloguing Tool
