9.4 Ship audiovisual items to vendor
Note: Each vendor may have unique guidelines or requirements for shipping audiovisual material. For example, MediaPreserve provides shipping instructions. Guidelines may change if the material is crossing international borders. Preferred shipping services may change from time to time. These procedures provide a high-level generalized description of how to prepare analog videocassettes for shipment. See IASA-TC 06, Part D, Section D.1.2.1.4 (Shipping logistics when digitization is outsourced) and Section D.1.2.1.5 (Manifests to support collection movement).
Pack videocassettes into hard plastic shipping totes
- Pack audiovisual items into cardboard boxes. Use packing foam as needed.Â
- Place cardboard boxes into hard plastic shipping totes. Each tote should have a printed manifest that describes the contents of the tote.
- Place the a copy of the complete manifest in the lowest numbered tote.
- Review totes and ensure each tote is properly packed and includes a manifest.
- Lock each tote after the entire shipment is fully packed.
Ship totes to vendor
- Use vendor shipping account.
- Follow instructions provided by vendor.
- Notify vendor when totes have shipped.
